In short
- We collect your account details, the videos you record, motion data from the phone, and technical data about how the app runs.
- Operators are told not to record their own face. Other people or reflections can appear in a recording by accident.
- Our clients receive datasets built from recordings. They identify you only by an operator identifier, not by name or contact details.
- The app has no advertising and no tracking, and we do not sell personal data.
- We disable accounts when work ends. We do not currently delete them.
1. Who we are
The Verlet Ego app and the platform behind it are operated by Verlet Robotics Rwanda LTD, KG 14 Ave, Village Ntora, Cell Ruhango, Sector Gisozi, District Gasabo, Kigali City, Rwanda ("Verlet", "we", "us"). Verlet Robotics Rwanda LTD is part of the Verlet group of companies, whose parent company is Verlet, Inc.
Accounts are issued to the people Verlet works with, called "operators" in this policy, after they have completed Verlet's training for Ego and are registered as having passed it. They then sign a contract with Verlet and start working. You cannot use the app without an account.
2. What we collect
Your account
- Your name as shown in the app, your email address, your role, and an internal user identifier. Your password is stored only as a salted, one-way hash, so nobody at Verlet can read it.
Recordings and what comes with them
- Videos recorded with the phone camera and with any wrist cameras paired to the app, with details such as length, size, resolution and frame rate.
- Motion and camera data recorded with each video, such as accelerometer and gyroscope readings and the camera's calibration, used to work out how the camera moved.
- Hand-position data that software derives from the videos, showing where hands and fingers are and how they move.
- Task information: which task was recorded and when, and quality checks run on the recording.
- Anything that is in view of the camera, which can include other people, their faces, and reflections in mirrors or windows (section 8).
- The app and the cameras it works with do not record audio.
Technical data
- Identifiers: a random identifier created when the app is installed, the app version, and the phone type and operating system.
- Usage and performance data: whether sign-in, uploads and other requests succeeded or failed, how long they took, and whether the network was available.
- Error information when the app fails: the kind of error and where in the app it happened, never the error message or your data.

| User content | Videos you record and upload | Yes, through your operator identifier | Delivering the service; building datasets (section 5) |
| Body: hands | Hand position derived from your videos | Yes, through your operator identifier | Delivering the service; building datasets (section 5) |
| Identifiers | User identifier, installation identifier | Yes | Running the app, security, fixing problems |
| Usage data | Which actions succeeded or failed | Yes | Running the app, fixing problems |
| Diagnostics | Timings, error classes, app version | Yes | Fixing problems, keeping the service reliable |
3. Permissions the app asks for
- Camera: to scan station codes and to record.
- Motion sensors: to record how the phone moves during a recording.
- Bluetooth: to find and control your wrist cameras. Their video travels over Wi-Fi, not Bluetooth.
- Local network: to talk to recording stations on the same network.
The app does not ask for your location, contacts, photo library or microphone.
4. Diagnostic logs
The app keeps a technical log on your phone: when the app started, whether the network was available, and whether sign-in, requests and uploads succeeded or failed, each with the time. Each entry carries your internal user identifier and a random installation identifier. The log does not contain your password, email address, name, the contents or file names of your recordings, or any sign-in token. The app keeps a limited amount, a few megabytes for about a week, and removes older entries automatically.
We use the log to find and fix problems such as an upload that fails. It may be sent to our servers and to our monitoring service, Grafana, for that purpose, and is kept there only as long as it is needed to find and fix problems.
5. How we use data
- To create and secure your account and let you sign in.
- To receive, store, check and process your recordings, and to tell you whether they were accepted.
- To build datasets from recordings and the data derived from them, and to give those datasets to our clients, who use them to train and evaluate software that controls robots (section 6).
- To find and fix problems, protect the service from misuse, and keep it reliable.
- To meet our legal obligations.
Where the law requires a legal basis for using personal data, ours are: performing our agreement with you, our legitimate interest in running and improving the service, and your consent where we ask for it.
7. Advertising and tracking
The app contains no advertising and no third-party analytics or tracking libraries. We do not use your data to track you across other companies' apps or websites, and we do not share it with data brokers.
8. What recordings may show
Recordings are meant to show an operator's hands doing a task. Operators place the camera as directed for each task and are told not to record their own face, and to wear shoes. Bad camera placement is not allowed.
Tasks take place in real settings, so a recording can show other things in view: other people who are nearby, or a reflection in a mirror or a window. When that happens by accident, it is part of the recording and is handled like the rest of it (sections 2, 5 and 6). If you appear in a recording and want to ask about it, contact us (section 14).
9. How long we keep it
- Accounts: when your work with Verlet ends, we disable your account so it can no longer be used to sign in. We do not currently delete accounts.
- Recordings and derived data: we do not currently set an end date for keeping them. Datasets already given to clients stay with those clients.
- Diagnostic logs: about a week on your phone, and on our servers only as long as needed to find and fix problems.
10. Security
Data travels between the app and our servers over encrypted connections. Your sign-in token is kept in your phone's secure storage, your password is stored only as a salted, one-way hash, and the app's diagnostic log is designed so that secrets and personal details cannot be written to it. Access to stored recordings is restricted by role to the people and systems that need it. No system is perfectly secure; if a breach affects you, we will tell you as the law requires.
11. Your choices and rights
You can ask us what we hold about you, ask us to correct it, ask for a copy, and ask us to disable your account. Depending on where you live, the law may give you further rights, including a right to have data deleted and a right to complain to a regulator, and we will respect those rights as the law requires. To use any of these, contact us as described in section 14. We may need to confirm who you are first.
12. Children
The app is for adults who work with Verlet and is not directed at children. We do not knowingly collect data from children.
13. Changes to this policy
We will update this page when our practices change and change the date at the top. For significant changes, such as sending new kinds of data off your phone, we will tell you in the app or by email before they take effect.
